The Ridge Meadows Division of Family Practice is hiring a dynamic Communications Coordinator to lead and implement creative, engaging, and impactful communication strategies that support local physicians and improve health care in our communities. You’ll bring big-picture thinking, hands-on execution, and a love for collaboration to this role.

JOB SUMMARY

As our Communications Coordinator, you’ll take the lead in planning, developing, and evaluating strategic communication and marketing efforts. You’ll design compelling campaigns, manage our online and print content, coordinate internal and external messaging, and support communication goals aligned with our physician-led Strategic Plan. This is a full-spectrum role for someone who enjoys doing meaningful work in a fun, team-based, non-profit environment.

Divisions of Family Practice is an initiative of the Family Practice Services Committee (a joint committee of the BC Ministry of Health and Doctors of BC. The Ridge Meadows Division of Family Practice (RMDFP) operates as a nonprofit society. Incorporated in 2010, it serves the Maple Ridge and Pitt Meadows area. RMDFP provides its 147 physician members with a strong voice to ensure that our members are at the forefront of positive change in our healthcare system.

Areas of RESPONSIBILITY

Big Picture

Responsible for contributing and supporting the organization's annual Strategic Plan and organization goals to success.

Strategy

  • Develop and lead a strategic annual communication plan in collaboration with the team and physician direction.
  • Develop and manage branding and writing guidelines within the organization.
  • Ensure effective communication within the organization that highlights our impact to members and partners.
  • Ensuring the Division members’ voice is at the forefront of all work.
  • Engage, support, and involve physician leadership year-round, to make decisions and set direction of communications ensuring the physician voice is heard.
  • Meet regularly with the Executive Director for strategic direction and to provide communication updates on a proactive basis, identifying risks.
  • Identify risks and remove roadblocks through proactive problem-solving before the communication reaches the audience.
  • Work in a quality improvement style in everything you touch and with the staff team.

Promotions and Marketing

  • Design and implement strategic marketing and promotional activities for campaigns, tools, and initiatives as needed.
  • Develop and maintain communication materials including the website, handouts, reports, advertisements, videos, letterhead, pathways, and other tools.
  • Create and execute a comprehensive promotion plan with an integrated quality improvement and evaluation system to measure effectiveness and impact.

Communications, Reporting and Operations

  • Design and implement regular member and partner communications with one-off communications, Division Digest, Fresh Sheet, social media, print and other channels as required.
  • Ensure timelines and outcomes/deliverables are met by deadlines.
  • Develop, maintain, and manage personal workplan, creating a system to track deadlines ensuring tasks are completed by deadline.
  • Lead communications at meetings identifying what is needed, the intent of the communication, and what you need from the staff team for successful communication.
  • Strategically plan and approach all communications to align with organizational goals.
  • Evaluate and quality improve all communication, asking “Did this bring value?” if not, what can be done differently next time?
  • Manage and troubleshoot roadblocks to ensure work keeps moving forward by calling the staff team together to brainstorm through.
  • Communicate with the staff team by providing status updates to the person who requested the work.
  • Ensure delivery of all communications is consistent with funding agreements, goals, and in compliance with division policies and processes.
  • Provides guidance on communication standards and processes for the Division.
  • Develops reports on successes and defined metrics to measure impact.
  • Meet with the project team regularly to fulfill project deliverables, monitor progress, and course correct together as applicable, providing updates on a proactive basis.
  • Ensure the security and confidentiality of all data is maintained and consistent with provincial regulations and division policies.
  • Report, track, evaluate and analyze communication efforts and outcomes.
  • Develop project presentations with physician leads.
  • Establish, support, and follow operational procedures and policies as aligned with work.
  • Exude an “all hands-on deck” teamwork attitude and leadership style.
  • Embrace and build staff culture and values.
  • Function effectively within a flat organization.
  • Collaborate with the management team on high-level strategy and vision.
  • Create communications for funders, the Division Board, and community stakeholders as required.
  • Perform other related duties as needed.

QUALIFICATIONS

  • Minimum of 3 years of experience in communications, including strategic planning and marketing campaign coordination.
  • Completion of a recognized diploma in Communications or related field from an accredited post-secondary institution.
  • Excellent written and verbal communication skills
  • Effective presentation and public speaking skills
  • Demonstrated expertise in marketing strategy development, campaign management and brand management
  • Proficiency with digital communication tools and platforms.
  • Proven experience in project management with the ability to drive initiatives through to completion
  • Strong operational skills to enhance efficiency
  • Strong team collaboration skills
  • Commitment to confidentiality and privacy compliance
  • Adaptable and flexible, able to adjust to shifting priorities and fast-paced environments

Working Conditions

The Communications Coordinator requires availability to work from Monday to Friday, in office, during regular working hours between 8 am – 6 pm (you choose your best start and end time, i.e.: 9am-5pm, 10am-6pm) with the flexibility of attending early morning, evening and/or occasional weekend meetings to accommodate physician’s schedules. The Communications Coordinator will need to accommodate and manage a flexible schedule. In exchange, the Division supports your work life schedule with returned flexibility along with staff team support. Travel will be necessary across the Maple Ridge and Pitt Meadows region and reliable transportation is required.

It is common in our office to be rallying as a team to lend a helping hand to do community work with our seniors or collections for the food bank. Expect to take breaks during your work week for anything such as a team high tea, team bowling, dressing up in a character from ‘The Office’ or standing on the street with a sign that says ‘honk for your doc’ for some member appreciation. We also pay attention to health and wellness whether that is ensuring we have fun injected into our daily routines, doing a walk ‘n talk meeting or hiring a local fitness guru to do some deep stretch classes with us.

Job Type: Full-time

Pay: $24.00-$28.00 per hour
