OTUS Nonprofit CFO is partnering with the Canadian Paediatric Society (CPS) to recruit a Director of Finance & Administration. Based in Ottawa, this senior leadership role reports to the Executive Director and oversees CPS’s finance, administration, HR, IT, and risk functions. The Director will lead budgeting and forecasting, financial reporting and controls, and support Healthy Generations—the CPS foundation—while mentoring a small finance team. About CPS

The Canadian Paediatric Society (CPS) is a national organization committed to advancing the health and well-being of children and youth. We are seeking a highly skilled and mission-driven Director of Finance and Administration to join our senior leadership team and help execute the organization’s financial and operational strategy.

Position Overview

The Director of Finance and Administration will be responsible for ensuring the financial integrity and operational efficiency for CPS. This role will lead budgeting and forecasting, financial analysis, risk management, and operational oversight, while collaborating closely with colleagues across the organization and reporting to the Executive Director.

The role also supports the financial management of Healthy Generations, a charitable foundation associated with the CPS.

Key Responsibilities

Strategic Financial Management

· Lead financial planning, forecasting, and analysis to support strategic decision-making.

· Collaborate with leadership to develop annual operating and project budgets.

· Prepare quarterly and year-end financial statements, variance reports, board communications and KPI dashboards.

· Identify opportunities to improve financial performance and organizational sustainability.

· Act as primary liaison with investment advisors and external auditors.

Reporting & Compliance

· Oversee all external financial reporting, audit preparation, and CRA HST filings.

· Ensure compliance with relevant laws, accounting standards, and internal controls.

· Review and approve tax and other information returns.

· Develop and manage internal control procedures and guidelines to ensure reporting in compliance with generally accepted accounting principles.

· Develop and report on key performance indicators, measuring performance in specific areas as determined by the Board of Directors and staff leaders.

· Support development and implementation of programs and projects, including budget development, contract review and expenditure projections.

· Review and negotiate organization-wide contracts (lease, IT support, etc.) and develop reporting system based on contract deliverables. Act as the primary contact for organization wide contracts.

· Support colleagues to develop proposals and review contracts to support revenue–generating activities.

· Ensure the smooth integration of necessary programs across the organization with the financial reporting system.

· Act as primary contact with external investment advisors and ensure timely reporting and compliance with Investment Policy.

Internal Controls & Operational Leadership

· Maintain and continuously improve financial systems, processes, and controls.

· Oversee contracts, lease agreements, and key vendor relationships.

Supervision & Team Leadership

· Supervise and mentor the Finance Manager and Finance Coordinator.

· Provide coaching and guidance to build internal financial capacity.

· Support talent development and succession planning within the department.

Human Resources

· Provide guidance and operational support on human resource matters specifically related to development and maintenance of job descriptions, recruitment and retention, performance management and compensation.

· Work with management team to develop and implement human resource policies and procedures consistent with current legislation.

· Draft new policies and revise/update existing policies as required.

· Provide advice and guidance on disciplinary action and terminations.

· Draft employment contracts and letters of offer.

· Maintain personnel files for all employees.

· Lead compensation planning process.

· Manage and negotiate contracts for group benefits and pension program.

· Ensure the management of and reporting on time recording system.

· Ensure compliance with all health and safety legislation.

Information Technology

· Oversee the development and implementation of a strategy to achieve integration of systems across the CPS. The strategy will also ensure that CPS staff have the equipment, software, and training necessary to perform their duties.

Legal, Risk Management and Operations

· Oversee corporate insurance process and ensure sufficiency.

· Ensure adherence to relevant legislation and other legal requirements.

· Periodic review of service contracts, and general business practices.

· Lead contract negotiations at time of new lease or lease renewal.

· Develop and ensure compliance with financial and administrative policies and procedures.

· Train, coach and mentor finance department staff

Healthy Generations, the foundation of the Canadian Paediatric Society

· Plan, direct & evaluate the financial, budgetary, information technology and administrative aspects of Healthy Generations. The position ensures the timeliness and accuracy of all organizational financial and charitable information. The position is responsible for reporting to the Board of Directors of Healthy Generations on a regular basis.

· Establish the financial reporting system and related controls with a goal of safeguarding the assets of Healthy Generations and supports the foundation by providing information supporting decision-making and advice on financial and contractual matters.

Qualifications

Required

· CPA designation (in good standing).

· 5+ years of progressive financial leadership experience, ideally in a not-for-profit or association setting.

· Strong working knowledge of Canadian GAAP, CRA compliance for charities, and restricted fund accounting.

· Excellent financial modeling, budgeting, and variance analysis skills.

· Effective communicator with experience presenting to executive teams and Boards.

Preferred

· Experience with funder/government reporting (e.g., project-based grants).

· Knowledge of HR and IT administration within a small or medium-sized nonprofit.

· Experience with QuickBooks or other accounting software.

· Proficiency in Microsoft Office.
