Position Type: Full-Time with benefits, working from the Foundation office in downtown Collingwood with periodic meetings and events outside of office. Occasional work from home flexibility.

Position Summary

The Philanthropy Coordinator is an exciting new role supporting the Foundation’s top priorities, beginning with the transformational Tomorrow’s Hospital campaign. With outstanding project management and relationship skills, the Coordinator will act as the hub for team philanthropy activities to inspire investment in our community’s future. As a vital member of a dynamic, mission‑driven team, key duties include providing administrative support to team members, ensuring adherence to processes and assisting in delivering exceptional donor experiences.

Reporting to the Director, Philanthropy, the Coordinator’s support will help achieve ambitious revenue goals and elevate the Foundation’s impact. The projected start date is in March, 2026.

Key Responsibilities Administrative & Operational Support

  • Maintain accurate donor records in the CRM database, ensuring timely updates and data integrity.
  • Prepare correspondence and donor materials for the Philanthropy team.
  • Schedule and coordinate logistics for donor meetings and calls.
  • Generate campaign reports, including dashboards and revenue tracking.
  • Provide backup support for mail processing, phone coverage and gift processing.

Campaign & Fundraising Support

  • Assist in qualifying new prospects through research.
  • Prepare briefing notes, speaking notes and proposals for cultivation and solicitation meetings.
  • Maintain and update donor and volunteer records in the database as needed.
  • Assist with onboarding campaign volunteers.

Donor Relations & Stewardship

  • Serve as the lead for major gift stewardship activities, ensuring adherence to stewardship matrix.
  • Maintain naming inventory and stewardship calendar.
  • Coordinate stewardship tasks such as thank-you calls and donor recognition activities.
  • Act as key contact and provide logistical support for campaign cultivation and donor recognition events.

Qualifications & Experience

  • Post-secondary education in fundraising, communications, business administration, or related field preferred.
  • Minimum 2–3 years of experience in fundraising, donor relations, or administrative support.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and database systems.
  • High level of professionalism, discretion, and attention to detail.

Bonus Points For

  • Experience in non-profit, hospital or healthcare fundraising.
  • Familiarity with South Georgian Bay communities.
  • Experience with Raiser’s Edge database.
  • Familiarity with Canva or other graphic design software.
