About the Foundation
This well-established Foundation was founded in 2000 by a family to honour their entrepreneurial parents who emigrated to Canada in the 1940s and built a successful business from the seed of an idea. From humble beginnings, the family-owned, multi-generational business eventually grew into a world leader in its industry before its sale in 2013.
The proceeds from that sale launched the Foundation, creating a lasting testament to the successful business the family built, and to the belief that when one is fortunate to have, it is one’s obligation and privilege to share that good fortune with those in need.
The Foundation supports registered charities on an ongoing, annual basis. It seeks to improve opportunities for children at the community, national and international level, focusing on organizations that enhance quality of life through education, physical and mental health, food security and recreational programs. Charities that have received assistance in the past include Amici Children’s Camp Charity, Doctors Without Borders, Boys & Girls Clubs of Kawartha Lakes, CAMH Foundation, Indspire, Kawartha Haliburton Children’s Foundation, Second Harvest, SickKids Foundation, Teach for Canada and many others.

A respected private charitable foundation seeks a strategic and hands-on Executive Coordinator & Grants Manager to join our team. This flexible, part-time position (1–2 days per week) is ideal for a professional who thrives in multifaceted environments and wants to grow with a mission-driven organization.
Position Highlights
- Collaborate directly with our engaged Board to support day-to-day operations and long-term growth.
- Flex the role between organizational management and external outreach, ensuring a well-rounded work experience every week.
- Gain access to influential grantee networks and not-for-profit leadership circles.
- Become an integral part of a self-sustaining Foundation. No fundraising is required in this role.
Core Responsibilities
Manage Operations
- Maintain organized board and member minutes, oversee document flow, and assist with CRA filings.
- Keep our digital document sharing systems current for full transparency.
- Coordinate with accountants, auditors, and insurers on compliance and reporting.
Build Grantee Relationships
- Serve as the main point of contact for grantees - correspond, solicit feedback, and review impact reports.
- Research and summarize potential grantees and programs for Board review.
- Update the grantee database and concisely summarize new and prospective grantee activity for Directors on a quarterly basis.
Strategic Growth & Outreach
- Attend quarterly and annual Board, grant, and investment meetings.
- Project manage the development of a new website (with external support).
- Guide the creation and rollout of an updated grant application process.
Champion Sector Engagement
- Stay current on legislative changes (e.g., ONCA) to maintain compliance.
- Liaise with sector organizations, attend conferences, and bring back learnings for our Board.
- Monitor not-for-profit news and trends, updating Foundation leadership with relevant industry insights.
The Ideal Candidate
- A relationship-focused organizer with project management and nonprofit experience.
- Enjoys both strategic tasks and day-to-day operations.
- Passionate about philanthropy, impact measurement, and organizational growth.
- Excellent written and verbal communication skills, and proficient with essential business software and platforms.
Before You Apply
Compensation
This is an hourly contract: $46-$68 /hour, commensurate with experience.
Workplace Environment
This flexible, part-time position (1–2 days per week) is fully remote with some travel required to meet with grantees and to attend board meetings & conferences. The successful candidate will enjoy a great degree of flexibility in determining how your time is allotted each week to fulfill the role’s requirements.
